  1. Step-By-Step Instructions for Faculty using the AIM Portal

  2. General Overview The Student Access Center (SAC) uses Accessible Information Management (AIM) for students: to apply and register with SAC to request letters of accommodation to schedule exams* with the SAC Testing Center Instructors receive letters electronically outlining accommodations for each student. It is the responsibility of the instructor to complete the Alternative Testing Agreement in AIM for students with testing accommodations. It is the responsibility of the student to schedule exams* for the Testing Center using AIM. *The term exam or exams herein refer to assessments such as exams, tests, quizzes, midterms, and finals be it online or on paper.

  3. Alternative Testing Agreement Complete for any courses in which the exams are to be administered/proctored by the SAC Testing Center. If your course utilizes a QUIZ (Q) section, complete the Alternative Testing Agreement for the QUIZ section rather than the lecture or lab section. Please contact us if an exception needs to be made. The SAC Testing Center does not proctor exams when Exams are proctored in the department providing accommodations. Course has take-home exams. Exams are not proctored (e.g. take-home exam available all day).

  4. Access to the Alternative Testing Agreement Via Letter of Accommodation: The letter includes a link to the Alternative Testing Agreement specific to that course. You only fill out the Alternative Testing Agreement once per course (CRN) per semester. Thereafter, any student in that course can schedule exams. or Via AIM Portal (https://bear.accessiblelearning.com/KState/instructor) 1. Login with your K-State eID and password 2. Click "Continue to View Student Accommodations" 3. Click Alternative Testing on the left navigation menu 4. Click ALTERNATIVE TESTING AGREEMENT near the top right 5. Scroll down to the course. Next to Status , click Specify Alternative Testing Agreement 6. From here you can indicate how exams are managed (proctored) and can complete an agreement as applicable

  5. Alternative Testing Agreement Complete the agreement thoroughly, noting any exceptions or special exam parameters. Select the appropriate exam type (online, lab, quiz, etc.) Include all exam dates (quizzes, midterms, finals) for the semester. Dates can be added and/or modified later. Make sure to click SAVE EXAM DATE when finished. Contact the Testing Center at tst@k-state.edu or 785-532-5317 for assistance.

  6. Providing Exams to the Testing Center There are several ways to send an exam to the Testing Center. 1. Upload exam on AIM - Preferred and most secure method 1. Login with your K-State eID and password (https://bear.accessiblelearning.com/KState/instructor) 2. Click "Continue to View Student Accommodations . 3. Click Alternative Testing on the left navigation menu. 4. In the UPCOMING EXAMS SCHEDULED section, input a File Title and click Choose File to select the file. 5. Down the page, select the exam(s) for which the exam file applies. You can view the students, dates, and times. 6. Click UPLOAD FILE .

  7. Uploading Exams on AIM continued After you click the UPLOAD FILE button, you will see one of these message boxes near the top of the screen. Submission error: There was a problem processing your request. Check the indicated fields to input the correct information and try submitting again. Success! The exam request was successfully submitted. You should receive an email confirming the exam upload.

  8. Providing Exams to the Testing Center 2. Email less secure and slower If you are unable to upload the exam file(s) on the AIM Portal, you may email us the exam. Email the file(s) as an attachment to tst@k-state.edu. Please assure that the attachments are standard, compatible file types (.pdf, .docx, .jpg, etc.).

  9. Providing Exams to the Testing Center 3. Email link If you have not uploaded the exam two days prior to the exam date, you should receive an email reminder from the AIM system with an upload link. Please use this direct link to upload the exam file(s). Assure that the attachments are standard, compatible file types (.pdf, .docx, .jpg, etc.).

  10. Online Exams On the Alternative Testing Agreement, you indicate the exam type and date. If there is a password(s), you can: 1. Include the password on the LIST OF EXAM INSTRUCTION QUESTIONS on AIM for each exam. 2. Type the password on a document and upload as an exam (see slide 6). 3. Email the password to tst@k-state.edu. Check the following for every online exam for each student: 1. The online exam will be open at the time scheduled with the Testing Center. 2. Extend the time limit if extra time is an accommodation. 3. The online exam is available for the entirety of the exam time.

  11. Communication about Exam Requests You will receive an email when, among other cases: A student with testing accommodations will have an exam. The Testing Center has not received the exam or password. A student makes changes to the schedule. A student is scheduled to take an exam at the Testing Center but does not show up that day.

  12. Completed Exams and Delivery On the Alternative Testing Agreement, you indicate the delivery method. Exams can be picked up from the Testing Center office in Holton Hall 002, Mon-Fri, 8:00am-5:00pm. Paper exams are delivered and signed for by the course s main department office. We attempt to deliver paper exams within 24 hours.
