Why Use Zoom?
 
With the Covid-19 pandemic shutting down all social functions, that leaves many with the question: “How do we proceed?”
The answer is Zoom.
The easiest way to host a conference, class, or meeting remotely, Zoom has been booming lately with new users.
Initiation ceremonies are extremely important to ESG, the inductees, and the institution to which they belong.
In order to avoid canceling this event, we have constructed this supplemental PowerPoint for you so that you are able to conduct the ceremony
as seamlessly as possible despite the challenging circumstances.
How to Use Zoom
Zoom, with a little preparation and practice, is straightforward. Here is a short YouTube tutorial that explains the basic
functions.
 
Rough Schedule
 
First, send out electronic invites, or E-vites, to the inductees, giving them information regarding the date and time of the remote initiation
ceremony.
Follow up with information about expected conduct and appearance for this initiation ceremony
Business professional dress code for what is in view of the camera
Act as you would during a normal, face-to-face event
Join the Zoom meeting five minutes prior to the start of the event, so that everyone is on time
Verify that everyone involved has watched the Zoom tutorial
Make sure that inductees each have access to a candle or electric substitute
 
Ceremony Preparation
 
The same people are needed for this as listed in the ESG Manual for New Initiates
However, the amount of materials listed will not all be necessary
Necessary Materials for Initiation:
A room appropriate for conducting a Zoom meeting (quiet, nothing on the walls or anywhere else in sight that could reflect poorly on ESG and its
constituents)
Bouquet or picture of the trillium (honor society flower)
Eta Sigma Gamma symbol
Lamp of Learning
Candles (each inductee needs one, battery powered is also acceptable)
 
Ceremony Preparation, cont.
 
The Chapter Roll Book
This item cannot be signed in person while performing a Zoom initiation ceremony
Thus, the chapter roll book should be sent out to each of the inductees electronically so that they may sign it
Either scan this document and send to the inductees via email or send in word.exe/PDF format via email so that they can sign it on their computers
Have them save a copy of this document and send a copy back for proper record-keeping
As soon as face-to-face meetings are possible, have the new initiates sign the roll book in person
New Initiates Materials
Certificates, pins, cards, journal issues, code of ethics
Mail these to new initiates at address provided unless a face-to-face meeting is guaranteed to happen within two weeks of initiation ceremony, at which these
items can be distributed
 
Once the Ceremony Begins
 
The bulk of the ceremony will remain unchanged in the conversion to Zoom, but there are a few exceptions.
The Pledge of Allegiance will still be recited by the Sergeant-of-Arms, but attendees will not be required to stand. A simple hand over the heart will suffice.
The Sergeant-of-Arms should have the American Flag in the frame of their video, if they do not have access to one, they should share their screen and have a
picture of the Flag for the other attendees to see
The Eta Sigma Gamma Pledge will not be sent out, but rather put on the screen so attendees can recite it along with the Presiding Officer
The pin, health education code of ethics, and ESG standards of conduct will be mailed or distributed at next possible meeting
Initiates take a moment to electronically sign or sign a printed copy of the chapter roll book, then light their candle
This concludes the changes in ceremony, make sure to applaud the new initiates for their dedication and flexibility in these difficult circumstances
