  1. Student Life & Leadership Compensation Time & Labor In University of California PPSM-30 https://policy.ucop.edu/doc/4010400/PPSM-30 Effective Date: 6/24/2023

  2. Non-exempt employee whose total workday is at least five hours will be provided with a meal period of at least 30 mins (unless the employee and their supervisor agree to waive the meal period). Meal Periods An employee must be completely relieved from duty during meal periods. Meals periods are neither time worked nor time on pay status (non paid)

  3. A full-time employee will grant two 15-minute rest periods, one to be taken in the first half day of the workday and one in the second half of the work day (unless operational considerations require the employee to continue working during these periods). Rest Periods As for a part time employee will grant one 15-minute rest period for each work period of three continuous hours or more, not to exceed two rest periods per day (unless operational considerations require the employee to continue working during these periods). Rest periods are considered time worked.

  4. Approval Overtime must be approved in advance. An employee is expected to seek advance approval for overtime. Compensation Overtime must be compensated on the basis of the nearest hour. When the hours worked by an employee exceed 40 hours of actual work in workweek, either: Compensatory time off will accrue. The employee will be compensated at the premium rate of 1 times the regular rate of pay. Overtime

  7. In the future, SLL leadership will determine if compensatory time off or paid overtime will be the standard for non-exempt staff. If you currently have a non-exempt employee accruing compensatory time, it needs to be used within a reasonable period after making a request if the use of compensatory time will not unduly disrupt the operations of the department (Employees can use compensatory time if it doesn t disrupt department operations, within a reasonable period after making the request). Compensatory Time Off Compensatory time off/paid overtime for overtime accrues at straight-time (one hour off for each hour of straight-time overtime worked) or premium time (one and one-half hours off for each hour of premium overtime worked).

  9. For pre-approved overtime, please ensure that employees or supervisors write a justification in the comment section of the timesheet. Include a comment if the work hours differ from the employee s regular schedule. For instance, if they worked on a weekend or attended an event. Time Reporting System Before approving the timesheet, review it for overtime and lunch breaks. If a lunch break was waived, please add a comment in the timesheet (document). Supervisors can review employees vacation, sick, and compensation accrual time via Time Reporting System, TRS (Manage My Staff) or UCPath. Ensure that employees submit their timesheets on time.
