Background and Objective BACKGROUND What is Digital Communications and Collaboration (DCC)? A new suite of modern digital communication and collaboration tools for public servants: Microsoft 365 Enterprise The Government of Canada has purchased Microsoft 365 Enterprise, cost recovery by Departments OBJECTIVE To provide members with information on a Government of Canada driven Information Management (IM) and Information Technology (IT) project that will change the digital work environment for everyone To seek feedback on the project, including but not limited to: Communications and Change Management 2
Considerations DCC Project offers Microsoft Outlook (Email and Calendaring) and Microsoft Teams Out of scope, other features such as OneDrive, SharePoint, Yammer, etc. Current Status in Government of Canada Shared Services Canada (SSC) has a pathfinder project underway for Microsoft 365 E3 (6 Departments participating) Information Technology Network Implemented improved performance during the pandemic Network assessment being conducted by SSC Security For security requirements, only Government of Canada devices will be authorized to access the Government of Canada network in the near future 3
Considerations Contd Computing Devices (laptops/tablets) require Windows 10 (vs 1909) Upgrade approximately 7,000 devices. Procure and Deploy 1,700 + new Laptops/Tablets New License costs - every user has a license ($79-$229/user/year) Need to be proactive and enforce Exit Process to ensure there are dormant accounts, long- term leave, etc. Completion of Crown-Indigenous Relations and Northern Affairs Canada (CIRNAC) vs Indigenous Services Canada (ISC) vs Canadian Northern Economic Development Agency (CanNOR) departmental alignment. The email accounts are separated accordingly First.Last@rcaanc-cirnac.gc.ca and First.Last@sac-isc.gc.ca Currently no special consideration for remote or northern communities 4
Next Steps and what does it mean for you? Call-in number added for Microsoft Teams meetings Simplified sign-on to be implemented Single sign on for Microsoft Teams, Microsoft Outlook (Exchange Online) and IT network Exception: until First Nations and Inuit Health Branch (FNIHB) users are on the ISC network, they will remain with dual authentication Completed for CANNOR and CIRNAC, pending ISC E-Mail will be migrating to new system in 2021 Key Messages Clean up your e-mail! Complete your profile in the My Profile System. Identifies the department for your e-mail migration Protected B (Work In Progress) Identity verification step (Similar to banks. When you first access the environment, you will be prompted to confirm your identity through one of a variety of verification methods) You will be able to classify your documents as Unclassified, Protected A, and Protected B 5
ISC/CIRNAC Time Lines Microsoft 365 for Microsoft Teams (Q1-Q2 2021-22) Initial roll out completed in 2020 due to pandemic Further security requirements to be implemented for Protected B environment Email Hosting (Q2-Q3 2021-22) Migration from current solution to new Microsoft 365 e-mail 6
