  2. Purpose of this guide Purpose of this guide This guide has been created to help managers who are new to the club to set up their first children s football team at Peacehaven & Telscombe FC. Taking on the management, coaching and administration of a football team involves much more than just talking football with the boys and girls. So this guide will help you get started with the wide range of tasks you ll need to fulfil and also explain the Football for All Policy you ll need to adopt into your team set up

  3. Players Players Each year the club requires parents to complete health questionnaires and the signing-on form. Once you have these for each player you ll need each player registered on the Whole Game system each season. Appendix 1 provides a guide showing how to use the Whole Game System to register players. Players in your u7 s team need to be in Year 2 of primary school (born between 1stSept 31stAug). Football at this age is mixed, meaning girls and boys play and train together. We are a Football for All club. Please read the Anti-Discrimination Youth Policy in Appendix 2. Ensuring the safety of players is the most important aspect of managing the team. If you are made aware of medical conditions of players please take the time to have a conversation with the parents/guardians to fully understand the condition, symptoms and how to treat them should it be required. Support and guidance on this makes up a significant section of the Introduction to Coaching Course you will need to complete ahead of starting your own team. (See slide 4).

  4. Courses, First Aid and DBS Checks Courses, First Aid and DBS Checks All Managers are required: FA Playmaker Course Induction to Coaching (includes first aid and safeguarding) Have a valid FA DBS Police check All Coaches are required: Safeguarding Course Have a valid FA DBS Police check Appendix 3 provides the details of how you access and complete these courses, DBS checks and claim the costs back from the club.

  5. Training Training Each season at the monthly Youth Managers meeting the location for each teams training area is discussed and agreed. Typically the u7s train at the south end of the youth pitches, by Gladys Avenue/Arundel Road. This is also where you will play your home matches.   6. Matches Matches - - League League Away Home The fixtures secretary will inform you of the time and location of the match in the week leading up to the game. You ll need to ensure the players parents are aware ahead of time so they can plan their travel arrangements. The league will inform you of your fixtures shortly before the season starts. The Fixtures Secretary will contact you in the week leading up to the match to arrange booking the pitch for the match. There are more than one team using each pitch so you ll need to work with other Managers to ensure fairness in the allocation of fixture timings across the season. The Fixtures Secretary will inform the opposition of time to arrive and pitch location. You ll need to arrive approximately 30 minutes before your players are due to arrive to set up the goals, respect barrier and corner flags so the pitch is ready for when your players and the opposition arrive. You will also be responsible for organising a referee for the fixture. Either a players parents or a Coach can do this, or you can ask other PTFC volunteer Managers from older aged sides if they have a child you will referee. We have some trained child referees who can be used, but a small payment will need to be made to them for their time.   7. Matches Matches - - Friendlies Friendlies Away Home Contact the Fixtures Secretary to inform them of the match, opposition and date of the match. Contact the Fixtures Secretary to book a pitch. You will need to arrive ahead of the kick off time to set up the goals, respect barrier and corner flags so its ready for when your players and the other team arrive. Separately, provide the players parents advanced notice of the time and location of the match in the week leading up to the game. You will also be responsible for organising a referee for the fixture. Either a players parents or a Coach can do this, or you can ask other PTFC volunteer Managers from older aged sides if they have a child you will referee. We have some trained child referees who can be used, but a small payment will need to be made to them for their time.

  8. Equipment What will provide you: Balls First Aid Kit Poles Bibs There is a communal lock up onsite where training equipment are available on a first come first served basis.

  9. Parents & Communication Parents & Communication Clear communication with the players parents is very important. It helps explain your Manager decisions, gains their buy-in and helps retain players. Sometimes you ll have difficult messages to pass to parents (ie, if their child is not picked for a game) and its best to be open and honest with them. As a Football For All club each child should be given similar game time, especially in the younger years, and explaining your plan for the next few weeks or even the whole season will help resolve any concerns the parents may have. If a parent has a complaint regarding your management of the team, their first point of contact is you as the Manager of the team. If this fails to resolve the issue, it then needs to be escalated to the Youth Vice-Chair. If that fails to result in a resolution then the final stage of the complaint is for the parents to raise their complaint with the Youth Chair. Helpful tips: Generate great team and parent engagement through fundraiser events which can go towards the cost of the players training kits, equipment etc. You can book the clubhouse via the Club Chair to host activities like this. It helps build team spirit and you can use it to communicate messages to the parents directly. Also end of season team awards and celebrations events are a great way to maintain this parent engagement. Talking to parents (not just the players) on matchdays goes a long way too. Also promoting attending the PTFC first team matches and the school holiday football academies the club provide is great for the kids and club!

  10. Sponsorship Sponsorship The club provides the first team kit as part of the signing on fee for the players. This includes a home football shirt, shorts and socks. All other training and match day kit comes at costs to the team itself. Sponsorship helps cover the costs of this and equipment. Sponsors can get their company name on training kits, training raincoats, Manager/Coaching clothing, kits bags etc. You will need to source this yourself through any contacts you have. PTFC use Macron for all our training and matchday clothing.   12. Summary Summary Taking on managing or coaching a team comes with much more responsibility than knowing how to talk tactics. Creating and developing your own players and team is very rewarding. Contributing towards the wider football club is also beneficial to you, the club and our town. Everyone at the club wants you to succeed so please make sure you ask friends at the club for advice and help where ever necessary.
