Seating and Positioning Clinics: Process Changes Karen Wills, MS, OTR/L, September 13, 2017
Objectives Be informed about process changes taking place in the DIDD Seating and Positioning Clinics Understand how changes impact how therapists currently interact with the clinics Have an opportunity to ask questions about the seating and positioning clinics and new changes 2
Billing changes The clinics are now approved as outpatient clinics providing OT and PT services Specialize in seating and positioning services Medicare and other third party payers Billing for services Historically, for individuals in the waivers, clinic time has been state funded Will begin to bill insurance for clinic therapists time in October for individuals in the waivers Will allow us to sustain operations long term Will allow us to expand eligibility for services 3
Billing changes Billing for services (cont d) Services are ordered, authorized, and billed as OT and PT services, not AT Clinic therapists of different disciplines will no longer be able to see clients for each other We are still working through details of billing insurance for individuals in ICF/IID 4
Referrals New forms for all new referrals includes new evaluations for existing clients Will not schedule an initial clinic appointment until forms are submitted and are complete Consent Intake and Medical History Physician Referral OT or PT evaluation specifically Who should be the primary referral source? Forms will be posted on website 5
Repairs/modifications Repair items fabricated by the clinic shops Custom molded seats and backs Therapeutic positioning equipment Custom wheelchair components provided by the clinic/shop Wheelchair frame and any other commercial components provided through a DME vendor, need to be repaired through a DME vendor Billing and inventory issues No repairs/modifications to equipment clinic didn t issue without a clinic evaluation appointment No adding belts to any equipment/furniture that we didn t evaluate New separate repair referral form to be posted 6
Appointments As we implement billing, we can no longer have community therapist at clinic appointments billing for services during the same time frame Can email or call the seating and positioning therapist to communicate concerns with clinic therapist or can attend without billing What can be provided in one appointment may change depending on insurance (i.e., evaluation and simulation on same day vs. separate appointments) We will be continuing to emphasize the importance of individuals being on time for appointments and may need to reschedule under certain circumstances 7
