  2. Aramark Catering Policies 2/12 When Ordering Catering: All catering orders should try to be placed as early as possible. While every effort is made to accommodate all catering requests, we ask that you submit your order a minimum of 5 business days prior to your event. If placing orders less than 5 business days in advance there is no guarantee that ARAMARK can fulfill your first- choice selections and you will be instructed to contact the Catering Office for approval. When requesting different main entrees for one event there is a minimum order amount that must be met for each entr e. Multiple entr es may not be available for events with low guest counts. (This does not apply to entrees requested for Vegetarian, Vegan, Gluten-Free, or other health-related dietary needs). 2

  3. Aramark Catering Policies 2/12 What Happens Next: 1. Once you have submitted your order, CaterTrax will send an Automated Confirmation that your order has been received and is under review. 2. The Catering Coordinator will review the order. If all of the information has been completed correctly including delivery location, time, contact & menu, the order will be marked CONFIRMED and a confirmation email will be sent via Catertrax. If the information is not complete or your request needs further details the Catering Coordinator and/or Director of Catering will reach out. Please keep in mind, we receive many orders, and a response is based on when the order is due. Last minute orders may delay a response if you have entered your order in advance. 3. Please communicate any changes or set up requests through Catertrax by simply selecting request change and typing your request. Catering will make the adjustments, mark the order confirmation pending and send an email requesting you review and reply with confirmed using the same request change procedure. 3

  4. Aramark Catering Policies 4/12 4. Guaranteed Counts are due three business days prior to your event date. This is the amount we will prepare and for which you will pay. Due to vendor delivery schedules, etc. we may not be able to adjust with less than 72 hours notice. 5. Once events are confirmed we will produce and deliver your event per those details. It is your responsibility to ensure all details are correct. 6. Events or menu items cancelled or changed after the order request will be subject to the following charges: Cancellation six business days or more prior to your event- no charge. Cancellation five office days prior to the event - 10% of the contracted amount Cancellation three office days prior to the event 30% of the contracted amount Cancellation within 24 hours of the event 50% of the contracted amount During holidays, adjustments in our charges will be made due to the additional labor cost. 4

  5. Aramark Catering Policies 5/12 What if I want something Custom? Catertrax has many different custom options already available. Under Buffets you will find multiple themed Options where you can pick and choose from. We are currently working with Catertrax to revise Custom Plated Options and add more choices to ease customization. In the meantime, select: Custom Menu Request , the Category you are requesting, your quantity and description of the type of menu you are looking to create. To help expedite your request please enter your event budget. Can I Order Special Items? Absolutely! Aramark can arrange through partner Vendors to provide Specialty Linen & Rental Items for your event. Contact the Catering Coordinator for pricing and details. 5

  6. Aramark Catering Policies 6/12 How does My Order Arrive? All catering orders can be delivered. Classic Fare Catering provides high quality disposable utensils and plates as well as table linens. China service is available for $2.00 per person. The event location must be unlocked and available for at least 2 hours prior to the event start time as shown on your order confirmation. You are responsible for all Classic Fare Catering equipment dropped off at the site. Any equipment lost or damaged will be charged at the replacement value on your final bill. 6

  7. Aramark Catering Policies 7/12 The standard fee for off-campus delivery is $50.00. The minimum order requirement for delivery inside the LSC is $25. Orders that are on campus but outside the LSC must meet a $50 minimum purchase. Orders that are off campus (including Gibbs ranch and The Woodlands Campus) must meet a minimum $150 purchase, and will be charged a $50 delivery fee. Linens- Classic Fare Catering provides one guest table linen per 8 guests for all dining tables when a per person menu service is ordered. Buffet or food tables are included with service. Additional linens are available for non- food tables for $7.00 each. 7

  8. Aramark Catering Policies 8/12 What about Leftovers? For the health and safety of our guests it is our strict policy that all food must remain with the Catering Department at the end of the event for proper disposal. Our policy prohibits us from allowing guests to remove any remaining food or beverages. If food is removed from an event the Catering Department isn t responsible or liable for the quality or safety of these items. Therefore, we do not provide to-go boxes. 8

  9. Aramark Catering Policies 9/12 What about Alcohol? Aramark is also the authorized provider for alcohol at SHSU. TABC has changed their approval processes effective September 1, 2021, and it is imperative that your alcohol requests are submitted 30 days in advance of your scheduled event. This window allows Aramark the necessary time to receive approvals through TABC. This means your requisition must be fully approved and distributed to Aramark within the 30-day window. If you fail to submit your alcohol request within the 30-day window, your department WILL BE responsible for TABC fines that are assessed to Aramark which range from: 9-7 days prior to your event $300 dollars 6-4 days prior to your event $500 dollars 3-1 days prior to your event $900 dollars no exceptions. 9

  10. Aramark Catering Policies 10/12 A police officer must be present at the event at your expense. On SHSU property (including Gibbs ranch) contact the University Police Department. If your event is off campus, but inside the city, please contact Huntsville Police Department. If your event is located outside the city limits, please contact the Walker County Sherriff s Department All Alcoholic beverages sold will be served by a TABC Certified Bartender. The bartender must refuse service to anyone under age and must ask for proof of age for anyone under 30. The bartender is required to refuse service to persons who are not conducting themselves in an orderly manner or appear to be intoxicated. Classic Fare Catering reserves the right to refuse to serve alcohol to any individual for any reason and to shut down and remove the bar at any time if we deem if necessary. 10

To order alcohol through Catertrax please select Custom Menu Request Custom Beverage and enter your quantity and what type of bar you need: Host Bar Beer & Wine Host Bar Beer, Wine, Liquor Cash Bar Beer & Wine Cash Bar Beer, Wine, Liquor *Currently under web construction will be a tab for each bar to make ordering easy. 11

  12. Aramark Catering Policies 12/12 My Event was a Success! Now what about payment Classic Fare Catering will provide order confirmation within one week of your order request. University funded events require a signed Purchase Order Form/Number no later than one business day before the event. Non-University events require 50% payment at the time of booking. Campus-Funded Events require a signed Purchase Order to be completed with appropriate signatures and details of the event. Catering Services must receive forms prior to event. We will be unable to fulfill your catering request without this information. Personal and Business Accounts require a 50% deposit at the time of booking of the event and the balance is due the business day before the event. *Visa and Master cards are accepted. * 12
