Writing to inform and advise
 
Learning objective: Understand how to write a report.
 
Learning outcome: Produce a formal report with detailed content.
Reports are documents that are used for getting and
receiving factual information; they are usually presented in
writing.  The main purpose of any report is to provide the
information needed for decisions to be made and actions to
be taken.
 
 
When writing a report you must
:
 
  Use formal language
  Use the correct format and structure
  Keep to the facts
  Make sure your meaning is clear
  Use correct spelling, punctuation and
      grammar

Wirral Council has plans to sell SJP
school fields to build 50 homes.
The sale of the fields would be
used to build a new computer
suite but many PE lessons would
have to take place in school hall
and canteen. Write a report about
the proposal above to your Head

It doesn’t say who it’s for.  It’s a
report and they are normally
formal, so be formal.
The report needs to be informative
and provide recommendations so I
should try to inform and advise the
reader giving detailed factual
information.
Purpose: What are you
being asked to write?
Audience: Who are you
writing for?
Tone: What tone will your
writing have?
 
STRUCTURE  OF A REPORT
HEADING
 
INTRODUCTION
State who you are/what report’s about.  Say what questions your report will
ask.
DATA COLLECTION
State what methods you’ve used to complete the report. E.g. surveys,
questionnaires, interviews…
FINDINGS
Go back to each question and say what you  have discovered.
RECOMMENDATIONS
Say what needs to be done.
CONCLUSION
