Managers Guide
 
To access the shift rota for
your home, first choose the
“Temp Shifts” option on the
top status bar.
 
Then choose the “Worker
Request” option further
down the page.
 
Next, choose the relative
job role that you are
looking to raise shifts for.
The roles are on separate
rotas for invoicing and
pricing purposes, please
ensure you have chosen
the correct one before
raising the shifts.
 
Once you have selected the
relevant shift, you need to
confirm the requirement
for a temporary worker and
that you have exhausted all
available options.
 
Once you have checked the
three boxes, you can select
the reason for the vacancy.
 
You can now select the type
of requirement (Early/Late
etc.) by clicking on the
relevant row. Timings are
displayed on the right hand
side.
 
If you require a sleep-in shift,
you can select those that have
“Yes” under the sleep-in
column.
 
You also have the option of raising
a “Direct Booking” if you have
agreed shifts directly with a
candidate.
 
Follow the same process as before,
but before selecting a date, check
the “Direct Booking” option.
 
From here, you can choose from
candidates who have worked at
your location in the last 6 months.
 
Once the type of shift has
been selected, you can now
choose the date of the
requirement.
 
You can add in preferred
worker names into the box
at the end of the page, as
well as any specific
requirements
 
Shifts can be
raised up to 90
days in the past
to cover any
retrospective
bookings which
have not been
raised.
 
The calendar
scrolls
independently
from the main
page, allowing
you to scroll
forward and
backwards
without
leaving the
calendar.
 
To raise a shift on a
certain day, click in
the white area next
to the date. The +1
symbol will appear.
Every time a date is
clicked on, it will
increase the
number by 1, up to
a maximum of 9.
Once 9 is reached,
this will cycle back
to 0.
 
Now you have selected
your shift requirements,
select “Raise Shifts”.
 
You will then be taken to a
summary page where you
can review the details.
Once reviewed, you will
need to select “Authorise
Shifts”.
 
Additional Shift Information
 
The user can only raise multiple shifts of a single shift pattern at a time.
The user can only raise a maximum of 9 shifts per date at any one time. Clicking
the same date 10 times will reset the shift number to 0. In the unlikely event
that more than 9 shifts are required on a specific date, the user will have to go
through the raising process again.
Please note – 
The user can only raise 1 retrospective shift per date. To raise
more than one retrospective shift per date, the user will have to go through the
raising process again.
All out of hours shifts will by raised by the in-house Ambient Support
Recruitment Team. You do not have to raise these.
 
Once you have raised a
shift, you will be able to see
this highlighted on the rota
so you can clearly see
where you have raised
shifts previously.
 
This will be highlighted in
the same colour as the shift
selection box.
 
 
Adding a Shift Template
 
To add a new shift to the
templates, choose the “Worker
Request” option.
 
A dropdown will appear where
you can amend:
-
The shift name.
-
The shift type (Early/Late etc.).
-
The start and end time.
-
If the shift is a sleep in, please
tick the box under the “Sleep
in” column.
 
Viewing the Rota and Status of your Shifts.
 
 
To view your rota, use the
“Temp Shifts” tab and  select
“Job Summary” from the next
line down.
 
You can alter the calendar to
view daily, weekly, monthly or
a specified range of dates.
 
To view different job roles,
please select from the left
hand side.

Newly raised shifts will
appear in yellow on the “job
Summary” page.
 
Shifts which have been offered will show in Blue, and
shift which have had candidates proposed will show
in Orange.
 
Depending on your access level, you will be able to
cancel shifts which are not required by selecting
“Cancel Shift” from the right hand side, and
confirming the reason when the new window
opens.
 
Shifts can only be cancelled by yourself if there is
more than 24 hours notice. If it is within that
period, please contact Ambient Support on 0121
713 6945.
 
Cancelled shifts will show in Red.
