  5. 3 Steps of Fall Recruitment Step 1 Step 2 Step 3 Preparation Sign-Up Night On-Boarding Principal meeting BeAScout.org New Member Coordinator Pack planning and preparation Presentation model Station model Training, Engaging adults, Retention

Step 1: Preparation May/June Contact school prior to year-end to schedule a meeting with the principal Meet with the principal after the end of the school year to discuss o How the Pack can support the school o Inquire about date for the school s Open House, Back to School, Meet the Teacher, etc. event and request Pack representation o Request a date to conduct the Pack s Sign-Up Night o Discuss and request permission to deliver Scout Talks the day prior to Sign-Up Night o Discuss flyer distribution procedures: when, paper or electronic, etc. Review and update BeAScout.org and Invitation Manager

  7. What is BeAScout.Org? BeAScout.org is a public website for families interested in scouting to locate a unit Searches are conducted by zip code and program to find units in the area If a unit s information is inaccurate, the potential family explore another unit Unit Information is maintained via my.scouting.org and requires Key 3 or Key 3 Delegate access

  10. Invitation Manager Invitation Manger is the leads resource tool. This is where any inquiries from BeAScout will come in and await response Invitation Manager is accessed via my.scouting.org and requires Key3 or Key 3 Delegate access Leads may be added manually during joining events or from names provided by unit members and send invitations to join that include a link to your unit s application There is also a URL and QR code specific to your unit that can be downloaded from this tool to use in your unit s recruitment efforts

Invitation Manager Status Description New Lead from BeAScout that has not been touched Opened Lead from BeAScout that has been viewed or manually entered lead Pending Reassignment Lead sent to district for reassignment to a different unit Invitation Sent Unit sent an invitation to join Closed Lead timed out after 60 days or inaction or manually closed by unit Completed Invitation sent and receiver initiated an online application

  13. Invitation Meeting Leads Default sorting is to display New & Opened at top of the list, followed by Pending Reassignment and finally Invitation Sent last Oldest requests are at the top of the list Filter on lead source is available

New Member Coordinator Welcome new families into the Pack Form relationships with new members and their families Work with key Pack leadership and committee to plan and execute Fall Recruitment Complete online training Are visible and easily identifiable at Pack meetings by their welcoming smiles and Welcome logo
