TRAVEL POLICY Each time your organization travels 1) Trip Leader must fill out the Student Travel Notification Submit a minimum of 2 weeks prior to travel On Blackboard (it is under the tab Travel Notification ) Once it is submitted, the Student Activities Office will be in contact with you 2) Each student traveling must fill out: Student Field Trip Informed Consent, Assumption of Risk and Release Form Submit a minimum of 1 week prior to travel On the CSO Blackboard portal directly above the Travel Notification Form 3) Club Sports should review information under the Club Sports folder

FACILITY USE AGREEMENT/ALCOHOL RISK MANAGEMENT ASSESSMENT FORM Reserving Space in Union- staff will help your organization through the process Reserving any other spaces (including outdoors) organizations need to fill out a Facilities Use Agreement (FUA) on BB (under the tab Forms ) When planning an event off campus that will include alcohol, please complete the Alcohol Risk Management and Assessment (ARMA) Form on BB (under the tab Forms ) These forms require Campus Adviser signatures. Please contact the Student Activities Staff for more information or assistance.

  6. LISTSERV & DIGITAL SIGNAGE Listserv format Emails will be converted into pdf format If sending an infographic or image please include it in the body of the email. Traditional email format will still work. Send requests to: ndsusg.techcomm@gmail.com Tier II & III CSO status: 5 = 5 emails per semester 4 = 4 emails per semester 3 = 3 emails per semester 2, 1, 0 = 1 email per semester for recruitment purposes only Guidelines are available on the Student Government webpage Digital Signage Send any signage requests to: ndsu.signage@gmail.com Guidelines are available on the Student Government webpage

REQUIREMENTS (HOW TO REMAIN IN GOOD STANDING WITH CSO) Enrollment on BlackBoard President, Vice-President, Treasurer, and Adviser All members must take TrackTraining before enrolling in the organization, especially officers! Constitution must be updated every three years One Large Group per semester (Fall and Spring) Check mailbox often!!! After this meeting, please go to the SAO and clean out your org s mailbox

MEMORIAL UNION RESERVATIONS Temporary Organizations: 1 Hour meeting Reservations 3 Flyers Full Status Organizations (3+) 6 Hours of Meeting Reservation 1 Major Event per Semester 3 Flyers Eligible for catering grant Probationary Status (Status 1-2) Restricted from any facility on campus Set up a one-on-one meeting with CSO Commission Any planned on or off campus events will be canceled

  10. What does the Volunteer Network do? The Volunteer Network is a resource that connects NDSU students to volunteer opportunities in the community. We put on various events throughout the year. We log and track Bison Service Challenge hours.

  11. Intake Forms Paper form and online. Unsure of what opportunities are out there, we can narrow it down for you Tailor your interests towards opportunities that will work for you Fill it out, hand it in, wait for email. Email arrives, see volunteer opportunities, engage on opportunities. Can be found at https://www.ndsu.edu/ Search for the Volunteer Network

  12. The Big Event The largest event the Volunteer Network organizes. When: Thursday April 20th Students sign up ahead of time then on the day of they are sent out to different nonprofits in the community.

  13. Bison Service Challenge End of academic year, category winners will receive recognition. Student organizations will be again split into service organizations and nonservice organizations.

Overview THESE BUDGETS ARE CREATED FOR NEXT SCHOOL YEAR (7/1/17-6/30/18) TIER 2 ORGANIZATIONS WITH A CSO STATUS 3 AND UP ARE ABLE TO GET BUDGETS ALL DOCUMENTS NEEDED FOR BUDGETS CAN BE FOUND AT NDSU.EDU/SG/FINANCE BUDGETS ARE DUE BY FRIDAY, JANUARY 20TH EMAIL YOUR BUDGETS TO NDSU.SG.FINANCE@NDSU.EDU ONCE COMPLETED

Budgeting Process o Finance commission will meet twice a week from 5-10pm o You will be able to schedule a time for your organization after we have received your budgets o 15 minute slots available, but for large budgets schedule yourself for two slots o You do not need a budget hearing if just request standard operating

  19. How to Get a Budget Standard Operating only Subject Line: (Org Name) STANDARD OPERATING $XXX Replace XXX with the amount of Standard operating you would like between $15 and $50 (Otherwise, default $15) Email to ndsu.sg.finance@ndsu.edu

  20. How to Get a Budget Competitive or Non-Competitive Visit www.ndsu.edu/sg/finance for budget templates Fill out as thorough as possible. If you re not sure about something still put it on there and it can be decided at the budget hearing. Email to ndsu.sg.finance@ndsu.edu You will then receive a reply with a link that you need to click on and schedule yourself for a time to meet with Finance commission. The deadline to schedule your budgeting hearing is this Sunday, January 22nd, by 5:00 PM

  21. What you can request What you can request Competitive Orgs. o 5 Away Competitions- Travel, lodging, and Registration. o 5 Home Competitions- Registrations and Home expenses o Additional Request- Items that will help your organization be competitive (ex. Equipment, dues, practice space, ETC.) and Standard Operating. Make sure to bring all forms that you need for any equipment. o If you need more then 5 competitions funded you will need a league letter stating you need more then five to be competitive in that league.

  22. What you can Request Non-Competitive o 1 Conference - Travel, Lodging, and Registration o Additional Requests- Things that will help your organization and the purpose of your organization. o Standard Operating

Budget Hearing and what to Bring Dates and Place: Jan. 23 (Meadow-Lark), Jan. 25 (SG Heine Rm), Jan. 31 (Meineke) Feb. 1 (Meineke), Feb. 7 (Meineke), Feb. 8 (Meineke) Meetings from 5-10pm What to Bring o Detailed information on events (meals included, start times, etc.) o If more than five home, five away events (League letter) o Quotes for organization items being requested o Filled out equipment agreement (Any equipment being requested)
