Reporting Reporting (as a function/process of social welfare administration)
What is a report ? Report summarizes the services of the personnel and agency. Reports can be daily, weekly, monthly or yearly. It s an oral or written exchanges of information. Annual reports are one of the main methods of informing the community regarding the activities of the agency.
Why reports are important ? The maintenance of proper minutes and the writing of good reports are essential in administrative work. The reports help each group or department to get acquainted with factual information regarding the work in other departments and use such information in streamlining it's own activities. It is through reports that the administrative head be able to coordinate the work of different sections of the agency. In the task of evaluating the work of the agency, well written and objective reports are of great help.
Report writing: Report writing: While writing the annual report, the type of person who will read the report should be kept in mind. It should cover the following points: 1. To mention services provided by the agency and the type of people being benefited. 2. Progress made by the agency during the course of the Year, its welfare activities and the usefulness or failures of methods, techniques and procedures adopted. 3. A plan of action for the future. 4. Amount received from various sources and the manners in which these funds have been utilized indicating the needs for the future. 5. Giving credit to the individuals and agencies responsible for the progress of work. 6. The reports should be factual, clear and simple.
7. The most difficult aspect of the preparation of an annual report is collection of necessary data to be put in the report. 8. As for as possible, the report should be supported by statistical figures. 9. Report should be into chapters according to programs or activities of the Welfare agency. 10. After preparing the first draught it may be of advantage to discuss with the board and staff members in the same field. 11. The language of the report should be clear, easy and precise. 12. The size of the report and the order of arrangement of the material will depend upon the theme of the annual report.
