  1. Cx: Our new housing management system The journey so far

The beginnings In September 2014 we procured one of the newest housing systems in themarket(CxfromCivica) Cx has been designed to focus on people as well as property assets, allowing us as a landlord to transform customer service and improve the experience for both tenants and employees through its application style interface.Importantly,it isaccessibleanytime,anyplace. We built a project team and a strategy on how to deploy this new system Weemployeda consultancy tohelpus on our journey

  3. Its all about the comms The communications definitions are something we spent a great deal of time on. It s certainly a strong piece of the Cx architecture and we decided to put some real effort in here going back to the bare bones. Re-designed templates and messages Started to review all letters, emails and text messages Defined communications definitions Configured (and mapping to fields)

The stages along the way We first scoped the requirements on what we needed as a company Design workshops on how it would eventually look were then undertaken We then began building the system, moving the data from our current Northgate system to our new system Built and Configured the new system Training key users on the system Testing Now taking place Go-live very near future

  5. What we have achieved. A completely re-designed communications platform Improved user interface. A system designed for us, and us alone. A system we can build on into the future. More Integration to other systems such as DRS, Sun System Financials, AbritasCBL, PIMSS, Repairs Diagnostic Tool Tablet friendly system

  6. Whos been involved All areas of the business have been involved at various stages. Our core project team has been made up of all core departments. We built a strong project board working with Civica senior management. We worked with DtL Creative to gain further insight and advice into systems implementations.

  7. Where we stand South Lakes will be one of the first landlords to employ this new technology and as a result have one of the most technically advanced housingsystems outthere. We are one of a few early adopters and as such have built a special relationship withCivica andplay akeypartin the usergroup. We are currently in the testing stage of the project and hope to go-live with the system in the very near future.

  8. Next The testing will be signed off by the project team and a go-live date finalised. We wont stop there. We will continue to build on the systems functionality with areas such as service charges, telephony integration and linking to other systems that will bring further benefit to South Lakes.

  9. Lessons learned! Think of process. Plan, plan and plan again. Don t underestimate the data migration. Don t be overly ambitious to begin with when it comes to integration.

  10. For South Lakes Housing, it is all about.. New look, new processes. Customer centric approach. Flexibility in design and configuration. Fresh approach to communications. Partnership that has benefited both supplier and buyer. Readily available web services and API s will serve us well in the future.
