  3. Why Do We Evaluate? Reflect on the current year What was the impact of the funded activity? Were the intended outcomes achieved? Were there unintended outcomes? Did the activity improve student academic achievement? What was the activity s strengths and weaknesses? Plan for the upcoming year Do we want to continue the activity? What changes should we make? 3

Requirements of Evaluations Summary of the process, findings, and actions Analysis of the data and any changes made due to that data Includes strengths and weaknesses Private School evaluation if the district has participating private schools Title I Part D if applicable FY23 Monitoring Procedures Document Link 4

General Tips from Jill and Uri Pay attention to correct year of docs requested (some are this year, some are last year) Parent Engagement: Start collecting documentation early and sort it into categories, the district/school level policies and documentation of outreach/parent involvement. Then sort your outreach/parent involvement into specific buckets: Right to Know, Parent Activities and Flyers, Compact, Sign-Ins for Meetings (don t just flood them with stuff) End of Year Program Evaluation: Make sure you have a thoughtful end of year report based on needs assessment, data, and actions, that address each activity in your application Know the difference between Program Evaluation Procedure and Evaluation Itself Use Cover Pages for Each Indicator Private Schools: Sort documentation from each one on your application (copies of return receipts, responses, offer of consultation) and then your signed consultation forms 6

Process Survival Tips from Jill and Uri Team up with somebody, exchange info Look at past findings together to see where others have gotten tripped up Make use of DESE exemplars rather than making up your own stuff Block out of times 2 hour at least every other week Audit each other and give each other feedback Review each other s need assessment process and program evaluation Be as detailed as possible, connecting your submitted evidence to the indicators Organize your information / documents. Consider including a cover page for documents that are not clearly labeled (e.g. documents showing private school outreach) 7

  8. Meet Your Neighbor Pair up (or triple up) with someone next to you Introduce yourself (name, district, role) Talk about where you are in the process What are you feeling good about? What are you worried about? .and before you go, exchange contact information!!!!! 8
