  2. Purpose To provide you with a clear understanding of the End Point Assessment process so that you understand why and when this happens, what's involved and what your responsibilities are.   4. What is End Point Assessment? End Point Assessment (EPA) is the name given to a series of assessments an Apprentice must take to prove their ability to do the job they have been training for. These take place at the end of an Apprenticeship following a period of training and development often referred to as the 'on-programme' period. The focus of the EPA is on the Apprentice being able to prove their competence in their role, through the work they have done This entails demonstrating competence in the defined learning outcomes derived from competencies set out in the Standard The EPA forms 100% of the assessment of the Apprenticeship

  5. Assessment Design and Delivery Our assessment materials are created in line with robust design principles that are recognised by Ofqual (the Government regulator for qualifications in England). These principles are: Validity we assess against the appropriate knowledge, skills and behaviours Reliability / Comparability we maintain consistency across our assessment materials and decisions Manageability our assessments maintain quality without placing unreasonable demands on apprentices and centres Minimising Bias our assessments are designed to allow equal opportunity for all to succeed

  6. When does End Point Assessment happen? The End Point Assessment phase begins when: On-programme phase of the Apprenticeship has been completed Required Functional Skills have been achieved Employer and the Training Provider (ATP) agree with the Apprentice that they are competent Apprentice Portfolio of evidence ready for submission The Apprentice then reaches Gateway and starts preparing to go through the End Point Assessment process.

  7. What happens during End Point Assessment? Apprentice completes the required assessments with continued support from the Employer and Training Provider All assessments must be passed for the Apprentice to be deemed competent Typically this will be completed over a four month period before the completion date is reached

  8. Overview The Team Leader or Supervisor EPA is made up of 2 components: Component Duration / Size Specification Title given once the Apprentice is approved Gateway. Delivered via web conferencing technology between the Apprentice and End Point Assessor. Presentation Material must be submitted within 2 weeks of title being given with the assessment taking place 2 weeks after. Presentation with Question and Answers 50 Minutes + discretionary 10% Professional Discussion underpinned by Portfolio of Evidence Portfolio of evidence informs the End Point Assessor for the Discussion. Conducted over a web conferencing platform between the Apprentice and End Point Assessor. Consists of 6 discussion points. 60 Minutes + discretionary 10%

  9. Presentation with Question and Answers Once the Apprentice has been approved Gateway the End Point Assessor will send a high level title to the provider for the Apprentice to focus their presentation on. This will be based on one of the following topics Reviewing ways to reduce cost and increase efficiency in a business environment Implementing a performance management process within a team or business unit Supporting your team through a period of change within their organisation Managing a difficult situation within your team The coach/tutor and the employer should identify work or projects that the Apprentice has been involved in on-programme and produce a refined title for the Apprentice. This title will be agreed at the planning meeting and must be done within 3 weeks of the apprentice being approved Gateway. Please see toolkit for further guidance and an example of a refined title.

  10. Presentation with Question and Answers The Apprentice must submit their Presentation materials (for example Power Point slides) and any supporting notes within 2 weeks of the title being set. The Presentation with Question and Answers assessment must take place within 4 weeks of the high-level title being sent to the coach. This date will be agreed at the planning meeting. Presentation referencing table provided within the toolkit which outlines each Pass and Distinction descriptor which is assessed through the Presentation with Q&A. The referencing table should be submitted along with the Presentation materials and any supporting notes that the Apprentice has prepared. Please note If the Presentation materials are not submitted within 2 weeks of the refined title being agreed Independent the assessment will be marked as a Fail. If the Presentation with Q&A does not take place within 4 weeks of the refined title being agreed the assessment will be marked as a Fail, based on rules set out in the assessment plan.

  11. Presentation with Question and Answers The Presentation with Q&A is 50 minutes with an additional 5 minutes at the discretion of the Independent Assessor. The Presentation will typically last 20 minutes, following the Presentation, there will be a short break of up to 10 minutes to allow the Independent Assessor to review their planned questions for the Q&A session. The Q&A will then take place and will typically last 30 minutes . Each Apprentice will be asked a minimum of 5 questions, one from each of: Team building and development Communication Organisational culture and strategy Problem solving Data analysis The Independent Assessor may ask up to two follow-up questions for each of the core questions to clarify their understanding.

  12. Portfolio of Evidence The Portfolio will be submitted at Gateway to DSW. The Independent Assessor will review the evidence and use it to help them prepare discussion points for the Professional Discussion. The Portfolio is not graded and feedback will not be provided prior to the Discussion. Showcase portfolio built up throughout the apprenticeship of the Apprentices best pieces of evidence. A rich Portfolio will contain a range of different evidence types. This would need to be a blend of anecdotal, product and performance evidence. The Portfolio must contain at least one piece of evidence mapped to each Pass descriptor relating to this assessment method. Each piece of evidence may map to more than one Pass descriptor, this will typically result in 20 pieces of evidence to cover all descriptors listed.

  13. Portfolio of Evidence DSW provide an evidence referencing table to allow the apprentice to map their evidence to the listed descriptors. Apprentices may include supporting statements or written narratives to provide context to their evidence. All evidence must be clearly labelled, dated and referenced in the Portfolio Referencing Table. All documents should be amended/redacted appropriately to ensure confidentiality and Data Protection are adhered to and that no GDPR breaches occur. Up to 2 hours of audio of video recordings are permitted within the portfolio, however they must be timestamped. The following slide provides list of suggested evidence types.

  14. Types of Evidence Evidence may include: Workplace observations Professional discussions between training provider and Apprentice Reports produced and/or annotated by the apprentice Copies of emails, minutes and other workplace documents Annotated policies, process documents and software used Presentations Project work done in the role Performance reviews between employer and Apprentice Feedback from line manager, peers and direct reports Learning record entries/development plans CPD Log

  15. Professional Discussion The Professional Discussion is a structured dialogue between the Apprentice and the Independent Assessor, designed to establish the Apprentice s understanding and application of the knowledge, skills and behaviours that link to the Professional Discussion. The Portfolio of Evidence can be referred to by the Apprentice and the Independent Assessor during the Professional Discussion. The Independent Assessor will prepare a minimum of 6 discussion points based on the evidence seen in the Portfolio. The Discussion will be conducted remotely using a web conferencing platform. The duration of the discussion is 60 minutes (+6 minutes at the discretion of the Independent Assessor). We strongly recommend use of mock discussion to prepare the Apprentice. DSW Assessors trained to put apprentice at ease.

  16. Results and Grading Results are communicated within 5 working days after each assessment method. There are 3 levels of outcome Fail, Pass and Distinction. Apprentices must achieve a minimum of a Pass in both assessment methods to achieve an overall Pass, and a Distinction in both assessment methods to achieve an overall Distinction. Each assessment method is graded either a Distinction, Pass or Fail as follows: Assessment Method Fail Pass Distinction The Apprentice must meet all 13 Pass descriptors which are mapped to this assessment method at Pass level. In addition to the Pass descriptors, the Apprentice must meet all 7 Distinction descriptors which are mapped to this assessment method at Distinction level. Presentation with Questions and Answers Pass descriptors not met The Apprentice must meet all 9 Pass descriptors which are mapped to this assessment method at Pass level. In addition to the Pass descriptors, the Apprentice must meet all 5 Distinction descriptors which are mapped to this assessment method at Distinction level. Professional Discussion underpinned by Portfolio of Evidence Pass descriptors not met

  17. Re-sits/Retakes The Apprentice s employer will need to agree that either a re-sit or re-take is an appropriate course of action. A re-sit does not require further learning, whereas a re-take does. An Apprentice who fails an assessment method will be required to re-sit or re-take any failed assessment method only. Any assessment method re-sit or re-take must be taken within 3 months of the Fail notification, otherwise the entire EPA must be taken again. Re-sits and re-takes are not offered to Apprentices wishing to move from Pass to Distinction. Where any assessment method has to be re-sat or re-taken, the Apprentice will be awarded a maximum EPA grade of pass.
