  1. March Scholarship Forum With the UM Foundation, Financial Aid, and Barb Bybee (Business Services)

  2. Help Us! Keep our contact list up to date. If you want to receive communications from the Foundation or Financial Aid Office, please send the department name, staff full name and UM email address to the Foundation. FOUNDATION 2020-21 2021-22 International Travel: Global Engagement Office Announcement o Travel suspended until July 31st, 2021 and committee will review in May to determine future travel. o Please do not make any awards for Summer 2021, Fall 2021 OR Spring 2022. Late Awards: Check your BOX budget folders. o The scholarship budget that has changed/updated will be highlighted yellow . Student Thank You Letters, please continue to send out notices to new recipients and collect, then send to UMF. o Emily Shankle, is continuing to review and mail to donors. Scholarship Budgets: o Make sure your BOX communications are ON . University of Montana The Big Give March 24 25, 2021 Noon to Noon (MST) UM s annual day of giving. Grizzlies coming together to support UM students. Your gift no matter the size adds up to something big. Make your early gift today at SupportUM.org/BigGive and help spread the word.

  3. FINANCIAL AID OFFICE 2020-2021 2021-2022 April 1st for Spring only and final Full year awards. April 1st to begin submitting awards, portal and award summary sheets. Due to volume received it can take 5 to 10 business days. Mid-May- FAO begins processing 2021-2022 awards. Please send to: fascholarships@mso.umt. edu AND umfawardsummarysheets @supportum.org. Any awards received after mid-May will take 5 to 10 business days to process. Award Summary sheets for 2021-2022 will be posted April 1st on the Department Scholarship Resource s page. Please use the award summary sheets located on the Department Scholarship Resource s page.

  4. SURVEY QUESTIONS

  5. Question #1: Is it preferred to make awards through the Portal, and if so, will this generate a request for a Thank You letter? FAO Response: Yes, it is preferred that awards are made through the portal. This allows you to have an electronic record of who has been awarded and the option to collect student thank you letters. In addition, if the post-acceptance box is marked in the UM Scholarship portal it should generate a request. To Check if your Post-Acceptance is checked by fund: Login to the Portal Go into an Opportunity Details Tab Under section Opportunity-Specific Information make sure the Post-Acceptance BOX is checked. Please work with Sarah Wade and Emily Shankle with the Foundation if you have further questions as to what communications may be set up.

  6. Question #2: How do we award summer scholarships? Foundation Response: Submit Request: Department/Unit making the award, please submit request for the Summer 2021 Award Summary Sheet to the Foundation (Korla/Sarah). 1. 2. 3. Fill out ALL information on the Summer 2021 Award Summary Sheet. Review AWSS, to ensure ALL information is accurate and complete. Collect the signature of your dean, director, or other specified responsible party who can approve awards. If you are unable to collect a signature, please be sure the dean, director, or other specified responsible party can include the Summer Award Summary Sheet attachment with their email approval. Send the Summer Award Summary Sheet attachment (that includes the signature) by email to the Financial Aid Office for processing fascholarships@mso.umt.edu AND CC the Foundation umfawardsummarysheet@supportum.org. The email SUBJECT LINE should include: SUMMER 2021 Award Summary Sheet Dept/Unit Name 4. It is the departments SOLE responsibility to track recipient names, award amounts and available budget balances throughout the award cycle. The department will be responsible for covering over-awards made by the department. Please do not include Summer awards in your 2021-22 Award Summary Sheets.

  7. Question #3: I find it difficult to fit all the information on an award summary sheet, what can I do? Foundation Response: Before submitting, please check the following: Department contact information UMF Fund Number and Index Code Student Information Processing Information Signature of Chair, Director, Dean ( responsible party) is included (or email approval if teleworking). If you have information that cannot fit in the columns provided, you can: Adjust rows and columns, Wrap Text can be helpful for this. When you are ready to SAVE: Go to FILE in excel Click PRINT until options display Adjust To: (make sure preview is on) o Portrait Landscape Orientation o Letter 8.5 x11 o Normal Margins Narrow Margins o No Scaling Fit All Columns to 1 Page If you want to save as PDF, click on Save as Adobe PDF

  8. Question #4: When should I begin reconciling my funds? How do I go about this? FAO Response: You will want to begin reconciling as soon as possible. You can use your tracker (located on your scholarship budget in BOX) or UMDW to help with the process. The deadline to submit to the Financial Aid office is April 1st, for the 2020-21 academic year awards.
