Understanding Allocations in Financial Management
Allocations are used to distribute monetary or statistical amounts across various funds, departments, products, or ChartField defined in PeopleSoft General Ledger. The process involves defining allocation types, pools, bases, targets, and offset entries. Different allocation types such as Copy, Spread Evenly, Allocate on Fixed Basis, Prorata with Record Basis, and Arithmetic Operation are used to distribute pool amounts to targets efficiently. Bases used include Direct Copy of Expenses, Indirect Cost Rate, and Records in PS_LEDGER. To enhance allocation processes, streamline steps, maintain a clean GRANT_ALLOC_TREE, and ensure regular updates.

What are Allocations? Allocations are used to distribute monetary or statistical amounts across funds, departments, products, or any other ChartField defined in PeopleSoft General Ledger
Parts of the allocation process Allocation Type - This is the calculation method for the pool and basis and describes how the basis is used to distribute the pool amounts to the target. Pool - The amount or amounts to be allocated. Basis Determines how and in what proportion the pool amounts are distributed to the various targets. Target This is the destination where the amounts are allocated. Offset Entries that clear or offset the pool amounts as they are transferred to the target.
Allocation Types Copy: Copies pool amounts to the target or offset with possible percentage changes. Spread Evenly: Divides pool amounts equally by the specified basis fields to derive the target amounts. For example, this type can be used to divide the pool equally in thirds among department IDs 0100, 0200, and 0300. Allocate on Fixed Basis: Allocates on a fixed basis and percentage of pro rata allocation. It is based on the fixed allocation percentage that you specify in the % field in the Value/Node scroll area on the Basis page. Proratawith Record Basis: Divides the pool amount among the targets based on amounts that are stored in the basis record. Arithmetic Operation: Defines the allocation calculation as a mathematical operation between the pool and basis.
