Overview This training session will cover: What an invigilator is What the main duties of an invigilator are Setting up and conducting e-Assessments Managing the conduct of e-Assessments Dealing with unplanned situations Application of reasonable adjustments and special considerations
An Invigilator An invigilator ensures that e-Assessments are conducted according to FireQual requirements and have a key role in upholding the integrity and safety of the e- Assessment process before, during and after the e-Assessment. An invigilator is there to support candidates in accessing the required documents and systems to allow them to undertake their e-Assessment without undue stress or interruption. An invigilator must be truly independent from the e-Assessment process and cannot have a conflict of interest in that they have a personal or professional interest in the outcome of the e-Assessment
The Main Duties Main duties include: Ensure the room is set up following FireQual requirements prior to entry by candidates Put in place authorised reasonable adjustment arrangements and ensure the correct candidate sits in the appropriate place Remind candidates that they are under e-Assessment conditions on entry to the room until they exit the room Check candidates identity prior to the e-Assessment taking place Check that there are no disallowed materials or items, eg. smart watches and phones, present within the room
The Main Duties Maintain a register of those present in case of late arrivals or emergency evacuation Advise candidates of the evacuation procedures Ensure all candidates have access to documents and/or e-Assessment systems required and allowed Make all candidates aware of the start and finish time of the e-Assessment Start and end the e-Assessment on time, give a 10 and 5 minute warning before the end Give full attention to the room and be in a position that all candidates can be observed at all times Do not conduct other work not related to the invigilation or other tasks such as reading that could lead to a distraction
The Main Duties Provide support to candidates during the e-Assessment in case of problems, distractions or interruptions Where there are multiple invigilators, communication between should be kept to a minimum except to convey important information Monitor for potential instances of malpractice or other circumstances that could impact on the safety and integrity of the e-Assessment process Invigilators can be changed part way through an e-Assessment as long as at least one is in a position to carry out all of the duties at all times.
Room Set-up The room should be set up prior to entry by candidates: Remove distractions, eg. unplug hardwired telephones or visual/audio displays. Do not disconnect systems used for emergency notifications Remove displays or other materials, eg. posters, that could prove helpful Display a reliable clock clearly visible by all candidates and check the accuracy of the time Display the start and finish times clearly so they are visible by all candidates Ensure IT and internet access is available and reliable and contingency plans are in place Ensure seating is arranged with a minimum of 1 metre between candidates Display the required posters in multiple areas the room
Late Arrivals Late arrivals to the e-Assessment may still be accepted within 10 minutes of the published start time but candidates should be advised that their submission may not be accepted Disruption must be kept to a minimum for candidates already within the e- Assessment There may be circumstances that give rise to a submission for a special consideration dependent on the reason for lateness see Reasonable Adjustment and Special Considerations policy
Behaviour Management The invigilator should ensure appropriate behaviours are maintained throughout the e-Assessment. They should: Be vigilant and remain aware of emerging situations Explain why the situation needs to be addressed Remain calm and professional at all times and do not raise their voice Sympathise as appropriate, but be firm to avoid further disruption of other candidates Reinforce the rules of the e-Assessment environment Request support from others if necessary
e-Assessment Interruptions In case of interruptions: Make a note of the time when the e-Assessment was interrupted or stopped and the reasons for this for later reference Where the e-Assessment cannot take place contact FireQual for guidance on how to proceed and it will be rescheduled If interrupted once started due to the internet dropping, continue the e- Assessment and contact FireQual for instructions on how to upload the responses after the event If interrupted once started due to other interruptions, try to continue the e- Assessment where possible but, if this is not possible, end the session and contact FireQual for further guidance
Reasonable Adjustments Reasonable adjustments must be applied for and authorised prior to the e- Assessment taking place. If granted, details of the reasonable adjustment that has been authorised should be followed precisely. Changes to time, room layout, etc. that has been authorised should be put in place prior to candidates entering the room. The invigilator should ensure the correct candidate(s) is seated in the appropriate place so that only they have access to the reasonable adjustment. Please see the Reasonable Adjustment and Special Considerations policy for more details.
Special Considerations Special considerations are applied for once the e-Assessment has taken place. If the invigilator feels that there is a circumstance where the application for special consideration would be applicable, they should note down the reasons for this and the responsible person for the Centre should submit to FireQual within 2 days following the e-Assessment. The invigilator or responsible person within the Centre should notify FireQual by email immediately after the e-Assessment that a submission is to be expected. Please see the Reasonable Adjustment and Special Considerations policy for more details.
Dealing with Suspected Malpractice In dealing with suspected malpractice: The candidate(s) should be warned of the penalties and sanctions that could be imposed A record of what has happened, and any supporting evidence, should be kept by the Invigilator Help should be summoned if required Disturbance of other candidates should be minimised and, if necessary, the suspected candidate(s) should be removed from the room with as little fuss as possible Report the instance to FireQual immediately on completion of the e- Assessment session
Dealing with Suspected Malpractice Under e-Assessment conditions the use of unauthorised materials, copying or attempting to copy, evading supervision or collusion is not permitted Unauthorised materials include: Mobile phones Smart watches iPods or MP3 players Food and drink (containers must be free from labels) Course books or reference materials unless specified as allowed by FireQual
Dealing with Evacuations If the Centre needs to be evacuated: Stop candidates from continuing their e-Assessment Make a note of the time when the e-Assessment was stopped Collect the attendance register Advise candidates to leave all documents and possessions in the room and exit to the meeting point in a safe and calm manner Await further instructions from the responsible persons for the building and/or authorities Prior to an e-Assessment taking place, the invigilator should make sure they are aware of the evacuation procedures and meeting points
Remote Invigilation Remote invigilation can be used in instances where a candidate is unable to attend the Centre through circumstances out of the control of both the candidate and Centre. Remote invigilation must be requested at the time of booking the e-Assessment with FireQual and the requested date and time will be confirmed with the Centre. It may be necessary to change the requested time and/or date of the e- Assessment due to availability of a remote invigilation service if not provided by the Centre.
Remote Invigilation Technical Requirements To conduct remote invigilation, candidates will require access to: Computer/laptop/tablet that can access the e-Assessment platform and that has a webcam and microphone Stable internet access Online meeting platform, eg. Teams, that has the ability to display the webcam and audio feed and share the candidate s screen Further device with a webcam, eg. smart phone, that can access the online meeting platform
Remote Invigilation Testing Environment The candidate should choose a suitable environment, eg. a quiet space that is well lit and private where no one will be present or is likely to interrupt. All materials that could support the candidate in answering the questions should be removed from the room unless otherwise authorised within the e-Assessment instructions, eg. open book.
Remote Invigilation Conducting the e-Assessment The following sets out how to conduct the remote invigilation: Both invigilator and candidate should sign into the online meeting platform The invigilator should complete introductions, check the identity of the candidate and confirm they understand the rules relating to the conducting of the e-Assessment The candidate should share their screen with the invigilator and checks made to ensure no unauthorised content is on screen, eg. other webpages or notes. Any unauthorised content on screen must be closed prior to commencing the e-Assessment
Remote Invigilation Conducting the e-Assessment The candidate should use the secondary device, eg. the smart phone, to show the invigilator the room that the e-Assessment is to take place to ensure there are no unauthorised materials or persons present. Anything that is unauthorised should be removed from the room prior to commencing the e- Assessment The candidate should set the secondary device at a place and angle that the invigilator can see the workstation and the candidate throughout the e- Assessment The candidate should ensure both devices are plugged into a power supply The invigilator should ensure that the candidate has access to the e- Assessment platform and is ready to start on time
Remote Invigilation Conducting the e-Assessment The following sets out how to conduct the remote invigilation: Both invigilator and candidate should sign into the online meeting platform The invigilator should complete introductions, check the identity of the candidate and confirm they understand the rules relating to the conducting of the e-Assessment The candidate should share their screen with the invigilator and checks made to ensure no unauthorised content is on screen, eg. other webpages or notes. If this is not possible the e- Assessment will be stopped and the candidate will have to resit at a later time. At the end, the candidate should confirm they are ready to submit. Once submitted the recording and online meeting can be stopped
