Challenges
 
Primarily to ensure students have completed Learn-based shop training course
 
Integrate with easily followed staff and student procedures
 
Offload mundane tasks from shop staff
 
Collect management data to assist shop staff

Thoughts
 
All students have Watcards (most are RFID capable, eventually all will be)
 
We can match the student RFID Watcards to Student numbers and departments
 
We can match student numbers to training data in Learn
 
We can use the data to automatically log usage of the shop by department
 
We can add and look up training data to determine who is qualified to use tools
 
Solution : January 2020
 
After investigation and input from the Student Shop Staff, a solution was
devised
 
We will have initially two stations, both connected to the system
 
One student facing ‘entrance desk’ stations, with only a Watcard reader as input,
students tap their Watcards there and get immediate feedback
 
One ‘management’ station in the back office available only to staff after
authenticated login
 
Future growth may add stations in wood shop and other shop areas
 
Student-facing system
 
Students will tap watcards at a small unmanned entrance desk upon entry to shop
 
Until now they have had to write down their names and departments and were supposed
to carry a card that staff would have to create to verify training in Learn – now obsolete
 
The Shop Safety System can replace that process with a simple Watcard tap
record names/departments, publicly showing just the student first name for feedback
It will immediately display a message whether each user has or has not passed the Learn test
It will also generate a warning sound if a student presents a Watcard without the corresponding
training, to alert staff
Information is then relayed to the back office through the database
Staff may occasionally spot check Watcards at the desk with the database to ensure compliance

Display a list of recent scans from the student entry station
Displays names, departments, arrival times, updated every minute
Trained individuals shown in black, UNTRAINED individuals in RED
 
Allow detailed training information to be viewed or updated
For the future, we may choose to restrict access for certain equipment to
those with in-shop or Learn based training
Allows DENY to be used to rescind training

Summary
 
Working together with shop staff, we have created a simple protocol for students
to follow with simple and immediate feedback
 
We hope that enforcing training will reduce accidents, while automated system
will simultaneously reduce effort by staff
 
The system gives real-time feedback to students and staff and collects some
summary statistics for later analysis
 
The system offers future expandability depending on the success of the
implementation
