24-25 CSI Human Resource Collection Training New this Year and Reminders Recorded August 2024
New/Reminders for HR Collection Field Name Change Updates Purchased Service/Contracted Staff Coding Code 105 Principal for Staff Evaluation Importance of Proper Formatting The HR Record Checker Tool Access, opening, and using the tool Validations Checklist now included on the tool Timelines and Deadlines Initial submittal, Level 1, Level 2, and Signed Summary Deadlines 2

Staff Field Name Update Purchased Service The Fields related to staff details have been updated to include the term Or Purchased Service . Fields include: Staff First Name, Staff Last Name, Staff Gender, and Staff Date of Birth Update made to ensure all staff working on the collection understand that Purchased Service Staff and Contractors should be included in the collection. 5
Contractors and Purchased Service - Employment Status Code Clarification Schools should be using Employment Status Code of 23 for all Contracted and Purchased Service Staff. Historically, 11 has most commonly bee used for all staff. 6
School Leader Coding - Principal It was discovered during the Staff Evaluation Collection that many schools have not been including a 105 Principal in their HR Collection, opting for codes 101-104. This caused errors on the Staff Evaluation Collection that required some exception requests. All schools should be reporting their School Leader as 105 instead of the other coding options. Options 101-104 are generally reserved for more higher-level administrators and district staff and are most applicable for Network schools. These schools still should be reporting a 105 along with any other staff options. 7
Manual Entry Proper Coding and Field Lengths Since most schools are completing manual updates to their files, it is important to understand that all fields must be the length posted in the file layout. Also, utilizing allowable coding, including leading zeros, for each field is necessary. Failure to do each of these can result in a file not processing properly. See the Staff Profile and Staff Assignment File Layouts located on the CSI HR Submissions Page. 8

SPED RC Tool Addition Validations Checklist Both the Record Checker Tool and Validation Toolkit contain several helpful data entry checks and error clearance assistance tools for schools to use in previous collection years. Many of the error clearance checks and reminders overlapped across the two resources. Due to this, they have been combined into one document called the Record Checker and Validation Toolkit. The original tabs of the Record Checker remain relatively unchanged; however, a new validation tab was added. This is a pared down version of the Validation Toolkit containing only checks that are not being flagged in the Record Checker. 12
HR Collection Timelines and Deadlines Deadline Task 09/19/2024 Submit initial files (Staff Profile, Staff Assignment for HR) 11/19/2024 Schools must have all Level 1 (Staff Profile/Staff Assignment) errors cleared 01/22/2025 Schools must have all Level 2 (HR and December Count- Staff) errors cleared Upon Error Clearance 1/30/2025** CSI will provide Data Summary Reports to schools Submit Signed Certification Agreements to CSI *Dependent upon all schools clearing errors by specified deadlines **Any requests for changes must be received by CSI on or before 1/27/2025 14
