The BYERS YOUNG INVESTIGATORS RESEARCH CONFERENCE (BYIRC) will be held fully in-person on April 21st, 2023, at Byers Eye Institute in Palo Alto, CA. The event will feature speakers and moderators following specific session formats. Speakers are advised to create presentations tailored to a broad audience, use appropriate formatting guidelines, and adhere to time allocations. The importance of audience awareness and presentation slide design is emphasized to enhance communication effectiveness.

Date, Time, Location, & Format Date: Time: Location: Format: Friday, April 21st, 2023 8:00 to 17:15 Pacific time Byers Eye Institute Conference Room (2nd Floor) 2452 Watson Court, Palo Alto, CA 94303 Fully in-person. Please note that there will NOT be a remote access option (no Zoom link).
Speakers & Moderators Speakers are encouraged to visit the conference room before their talk to familiarize themselves with the room layout and audio-visual equipment. Speakers should be ready at the conference room at least 30 minutes before their scheduled session. The Executive Team will be there to assist.
Speakers & Moderators The conference will comprise 7 sessions (6 classic + 1 rapid fire session) and 2 faculty moderators per session. Each speaker will be allotted 8 minutes (5 minutes for rapid fire session) to present, followed by a 4-minute (2 minutes for rapid fire session) question/answer session.
Know Your Audience Speakers are encouraged to structure their talks and content to appeal to the broadest audience: non-medical researchers, undergraduates, or new postdocs/graduate students in attendance who are not as steeped in field- specific nomenclature or background information. When possible, speakers are encouraged to avoid technical jargon or specialized terminology. If you must use technical terms, please define them clearly. Acronyms that are specific to your research should also be explained.
Presentation Slides Formatting guidelines: Use sans-serif fonts. These fonts project better and are easier to read. Sans-serif fonts include Arial, Helvetica, Calibri, and Verdana. Use font size 24-point or larger to ensure readability. Avoid words in all capital letters or custom fonts, which are harder to read. Use dark text on a light background. If you must use a dark background, please ensure light-colored, larger-sized text is used.
Presentation Slides Presenters are encouraged to keep the text succinct and number of slides to a minimum. It is mandatory for all presenters to create their presentation slides using the BYIRC slide template, which the Executive Committee has shared with them.
Recommended Presentation Layout Title (include authors and affiliations) Financial disclosures, if any Introduction (background, purpose, hypothesis) Method (brief synopsis of the methodology) Results (graphs/charts/tables, summary of findings) Discussion (explanation of results, comparison to other studies, clinical implications, etc.) Conclusions (take-home messages) References and acknowledgements
Sharing the Presentation File All speakers are required to email their complete PowerPoint slides to the Executive Committee (akhavana@stanford.edu) by: 11:59 P.M. PT on April 19th, 2023 All presentation files will be preloaded for presenters. However, we strongly encourage presenters to bring a backup flash drive with a copy of their presentation on conference day. If your presentation contains videos: 1. Please coordinate and confirm with the executive Team to ensure the video is playable on the conference desktop. 2. Please submit and bring a backup version of your video file in AVI format as a separate file from your presentation file. 1
Dress Code The atmosphere of the conference is friendly. We kindly encourage speakers to wear the attire they feel comfortable with.
