Supporting Researchers with Research Data Management (RDM) Costs by Jacques Flores
Helping researchers meet funder and institutional demands for data management plans, sharing data, metadata, security, privacy, and long-term preservation. Creating awareness about RDM costs beyond storage solutions, emphasizing metadata, informed consent, anonymization, and data preparation. Providing infrastructure through data management platforms, including costs involved in storing, sharing, and publishing datasets. Offering knowledge and expertise through data consultancy to reduce researchers' time in understanding RDM solutions, privacy regulations, connecting with experts, and fulfilling mandates.

Helping researchers with RDM costs by Jacques Flores
Meet demands Funder and Institutional Demands Help and Support o Data Management plans o Sharing Data o Rich and structured Metadata o Security o Privacy o Long term preservation o o Awareness o Infrastructure o Knowledge o Expertise
Cost Guide On-line guide on potential RDM costs Creating Awareness Exemplifies the idea that the costs of RDM go well beyond storage solutions Adding metadata Obtaining informed consent Transcribing, Translating Anonymizing Preparing data for long-term preservation Etc.
Data Management Platforms Providing data management solutions for free or subsidized price Providing support for the use of diverse data management solutions at no cost
RDM platform for: Storing Sharing Depositing Publishing Cost to the Researcher: 4 /TB/month Costs to the UU: - virtual machine hardware of Yoda systems - Vmware software and licences - Maintenance - Staff FTE cost
RDM platform for publishing datasets Cost to the Researcher: Free* Cost to the UU: 5000 / year + 350 /TB (1TBfree) *If dataverse is too be used for publishing dataset above 10GB, a price may incurr (not been done to date)
3. KNOWLEDGE & EXPERTISE
Data consultancy Reducing the time researchers need to spend to: Know the available RDM solutions for their problem Understand privacy regulations Connect with the appropriate RDM expert Fulfill funder and institutional mandates (e.g. DMPs) Learn about RDM in general =
Data Managers Can be hired by researchers from the UU library on a part- time and temporary basis Duties involves: Set up a workflow for responsible data management for a research project Help getting data ready for publishing Cleaning, formatting, versioning Uploading data and safe-guarding data
Costs of Data Managers Many research groups or departments cannot afford to hire a permanent data manager Hiring a data manager on an hourly basis is expensive: 60-90 /hour Finding a suitable and available Data manager with expertise on institution-wide facilities is difficult Insourcing data managers from the institutional library greatly reduces the price researcher needs to pay (35 /hour) and ensures immediate and knowledgeable help is available
Research Engineers Research engineers can be embedded into projects that require data science expertise They have high programming skills and are often involved in gathering and or analyzing data for specific projects
Costs of Research Engineers Many research groups or departments cannot afford to hire a permanent data scientist Hiring a data scientist on an hourly basis is expensive Currently the UU provides the help of Research engineers for data science tasks for free! This is done through funding from a temporary UU program; thus sustainability is at question -may switch to a paid service
Summary How does Utrecht University support researchers with RDM costs? Awareness of costs Providing and subsidizing the costs of RDM IT infrastructures Reducing the time spent by researchers on RDM tasks Sustaining and in-sourcing RDM expertise for specific projects
