Itrent Recruitment Project Overview of the new recruitment system & processes
Purpose and content The purpose of this slide presentation is to provide you with an overview of the changes that are being made to the recruitment process from a systems perspective and the associated benefits. The slides cover: 1. The current system and process 2. Why change 3. The new system and process 4. Benefits of the change 5. Next steps and roll out
Current System & Process 1. Headcount Controls govern the approval needed to commence the recruitment process 2. Advertisements for the role(s) added to the Engage system 3. Hiring manager determines interview schedules 4. Hiring manager and other managers form a panel to shortlist applicants 5. Candidates interviewed and either offered or rejected 6. Data manually input into the core HR system Itrent .
Why Change? 1. Our core HR system for people data is Itrent , but we use a different system to capture recruitment data 2. We have to undertake manual interventions to move data from Engage to Itrent 3. We operate and maintain two systems when we should operate with one for efficiency and accuracy 4. Managers are likely to have more experience in using Itrent than Engage and using only one HR system will enhance usability. 5. Other people related system upgrades will take place in Itrent e.g. Learning & Development
Future System & Process? 1. The key aspects of the current process with remain - Headcount Controls - Hiring Managers determine interview schedule - Hiring Managers select panel - Hiring Managers and panel conduct interviews 2. The recruitment system will become Itrent which is the core HR System at St. Mary s. 3. The use of Engage will cease 4. Recruitment data automatically pulled through into Itrent 5. Shortlisting will continue to take place as a panel
Benefits 1. We will utilise one system (Itrent) rather than two, meaning people related data will be in Itrent from first contact 2. Removes the need for the manual transfer of data from Engage to Itrent , speeding up the process and helping eliminate data entry errors 3. The reporting on data will be improved, through ease of access and accuracy. This will be particularly helpful for extracting Equality Diversity & Inclusion data 4. Onboarding of new staff is quicker, as data is now already in the Itrent system 5. Supports the drive to have all people related data on one system.
Next Steps & Roll Out 1. The new system and process will go live in early November 20 2. Comprehensive training will be offered to hiring managers 3. Detailed written guidance will also be available to supplement the training or be used by anyone unable to attend (although the recommendation is that hiring managers do attend training prior to using the system) 4. Details of training and guidelines will be published on StaffNet.
