  2. MOBILITY OPPORTUNITIES WITHIN THE ICM PROJECT STUDENT MOBILITY STAFF MOBILITY

  3. ERASMUS+ INTER-INSTITUTIONAL AGREEMENT Before student and/or staff mobility, Parties must sign an Erasmus+ Inter- institutional Agreement. The Agreement should be signed by the Legal Representatives*. *Legal Representatives might be Rector and/or President or Member of Board of Trustees The Agreement should include the contact person information for students and staff. By signing an inter-institutional agreement, the institutions commit themselves to respecting the principles and quality requirements of the Erasmus Charter for Higher Education (ECHE) relating to the organisation and management of mobility, and agree on a series of measures to ensure high quality mobility. Fact Sheet should be attached to the Agreement.

  4. STAFF MOBILITY Types of the mobility within the scope of Erasmus+ KA171 Staff Mobility (please refer to the IIA signed between your university and Aksaray University): Staff mobility for teaching (STA) Staff mobility for training (STT) Staff mobility activities can last from 5 days to 2 months, excluding travel time. However due to the budget limitation of the Project, Aksaray University funds 7 day-staff exchange mobilities which include travel days as well. A teaching activity has to comprise a minimum of 8 hours of teaching per week. Therefore a teaching schedule in the relevant subject area is needed to organize the teaching mobilities.

  5. STAFF MOBILITY APPLICATION PROCEDURE In order to organize the staff mobilities, an application call must be published by the sending institution in line with the rules attached to this presentation: The interested staff will consult the Director/Manager of the Department or Dean of the Faculty for initial approval of proposed mobility and absence (ensuring any teaching/ work responsibilities can be covered). At the selection stage, the sending institution can take into account the following criteria: 1. work experience of the staff member 2. motivation level 3. previous experience in intercultural environment. In case of an equivalency, the preference goes to those who never benefited from the mobility before and those who came from disadvantaged socio-economic backgrounds. Required Documents: Invitation Letter from Aksaray University Staff Mobility Agreement for Teaching/Training Travel Health Insurance Grant agreement signed by the participant and Aksaray University upon the arrival.

  6. STUDENT MOBILITY Types of the mobility within the scope of Erasmus+ KA171 Student Mobility (please refer to the IIA signed between your university and Aksaray University): Student Mobility for Studies (SMS) Student Mobility for Traineeships (SMP) General Rules: Student mobility for studies: Duration: min. 3 months Grant amount: -Students arriving from any eligible partner university to Aksaray University will receive a monthly grant of 800 EUR/monthplus a one time travel allowance to Istanbul. Student mobility for traineeships: Minimum duration of student mobility for traineeships is 2 months. Important Note: The same student may participate in mobility periods totalling up to 12 months maximum per each cycle of study, independently from the number and type of mobility activities. Erasmus students -whether or not they receive an ERASMUS grant- are exempted from paying fees for tuition, registration, examinations and access to laboratory and library facilities at the host institution.

  7. STUDENT MOBILITY APPLICATION PROCEDURE Students should apply to student visa at the nearest Turkish Embassy with their acceptance letter issued by Aksaray University. The call will be prepared by Aksaray University and will be shared with Partner University. The Partner University will publish the call on its official website and the links/print-screens will be shared with Aksaray University. The Call for ICM Project will include the following information: General information about the Project Application Requirements and Procedures Selection Criteria and Procedure Please note that undergraduate students cannot undertake mobility during last study semester.

  8. STUDENT MOBILITY APPLICATION PROCEDURE WHO CAN APPLY? All full-time enrolled undergraduate and graduate students (please refer to the IIA signed with your university for the details) at the partner university are eligible to apply.

  9. APPLICATION PROCEDURE Application Documents (All documents should be in English): Application Form Format (will be provided by AksarayUniversity) Official Transcript of records issued by Student Affairs Office at the participant s home university A copy of the English Proficiency Certificate (IELTS, TOEFL or a language certificate from student's Home University) Copy of Passport Photo

  10. SELECTION PROCEDURE The first part of the selection process will be undertaken at the students and staff members home universities and these selection processes will be organized by these institutions according to their own regulations, but taking into account the Erasmus Charter principles. The selection process must be fair, transparent and documented, ensuring equal opportunities for all applicants submitting their applications. The home university will provide a pre-selection of candidates according to the following criteria: Average grade Language skills: Min. B1 in the CEFR (Common European Framework of Reference) Previous Participation: -10 point

  11. BEFORE THE MOBILITY - DOCUMENTS After the selection process at Partner University, the steps listed below will be followed by the selected participants and the Home University: 1. Home University will send official nominations for the selected participants to Aksaray University via international@Aksaray.edu.tr. Decision of the Selection Committee must be approved by the committee assigned by the Rectorate of the partner University and the signed and stamped document should be sent to AksarayUniversity International Office along with the nomination list. 2. After that, selected participants should complete their application form of Aksaray University and should send the following documents to the system: Learning Agreement Transcript of records A copy of the English Proficiency Certificate (IELTS, TOEFL or a language certificate from student's Home University) Copy of Passport photo 3. After selected participants have completed their applications,Aksaray University will send the acceptance letters and Infopack to the accepted students.

  12. DURING THE MOBILITY Both parties will organize an Orientation Programmme for incoming students. When the participant arrives at Aksaray University, he/she checks his/her learning agreement with the Departmental Coordinator and makes the changes if necessary. If there are any changes, the During the Mobility Part of Learning Agreement is prepared and is sent to the student s home institution for approval. Aksaray University will offer Turkish Language for International Students to its incoming students and students will be able to gain ECTS (European Credit Transfer System) from the course. Grant Agreement between AksarayUniversity and the participants will be signed on the first day of the Orientation Programme and students will be able to receive the first payment of their grant upon their arrival. First payment: 80% of the total grant Second payment: 20% of the total grant

  13. AFTER THE MOBILITY After the Mobility Documents: Confirmation of Participation from the host institution Mobility Tool Report: This report is an online survey which will be sent by Aksaray University upon participant s departure. Transcript of Records from the host institution Copy of Passport (Entry and Exit Stamps) Testimonial Academic Recognition : All the courses from the participant s Transcript of Records that were successfully completed and were originally presented in the Learning Agreement should be fully recognised and included as an integrated part of participant s curriculum. The Proof of Academic Recognition Form must be sent to the Aksaray University after the participant s mobility.

  14. IMPORTANT NOTES PREVIOUS PARTICIPATION If the student has already participated in Lifelong Learning Programme Erasmus (LLP), Erasmus Mundus or another Erasmus+ project, the period of this mobility is deducted from his/her Mobility period. Both study and placement/training mobility is taken into account. The Mobility rules regarding previous participation are: Max.12 months at 1st level Max. 12 months at 2nd level Max. 12 months at 3rd level

  15. BUDGET AND FINANCING RULES 1. Individual Support for Participants Every participant will receive a mobility grant composed of subsistence support according to the destination country and the length of stay (in days). Incoming students ( from Partner Country to Aksaray) : EUR 800/month Incoming staff ( from Partner Country to Aksaray) : EUR 140/day

  16. BUDGET AND FINANCING RULES 2. Travel Support for Participants Each selected individual participant receives a travel contribution based on the distance from sending to the receving institution. For the distance calculation, reponsible persons at the partner universities should use the EC s Distance Calculation Tool.   17. BUDGET AND FINANCING RULES ICM without Grant Option Students who are entitled to receive an Erasmus+ ICM grant may abandon their right to receiving the grant or eligible applicants may benefit from ICM study mobility through without grant option" by declaring to the International Office that they want to use this right after the announcement of results. Erasmus students, whether or not they receive an ERASMUS grant, are exempted from paying fees for tuition, registration, examinations and access to laboratory and library facilities at the host institution. Additional Grant Opportunity for Students with Special Needs Additional grants are available for students with special needs who wish to participate in Erasmus+ ICM programme and where participation would not be possible without extra financial support. In order to learn more about additional grant opportunities for students with special needs, please get in contact with Aksaray University International Office.

  18. DISSEMINATION After the each mobility term, the partner University is asked to report its promotional activities to Aksaray University. To disseminate the Project, the following activities should be organized and reported: Info Sessions Meetings Announcements on the webpages The report should include photos and videos from the activities and a short description of the activities should be shared as well.
