Process Flow Origin country to Kenya Freight requirements for cargo from origin country( Mainly Europe) to Kenya All imports into Kenya must undergo inspection with a recognized body e.g. SGS and Bureau Veritus. For this to commence, Clearing agent must apply an IDF with KRA. FIT will send the approved IDF to Shipper( WP participant) and they book inspection with the inspection body in their region. CARGO WITHOUGHT INSPECTION WILL ATTRACT A PENALTY OF 15%, WILL HAVE TO UNDERGO LOCAL INSPECTION THAT TAKES TWO WEEKS. DURING THE TWO WEEKS, SHIPMENT WILL ACCUE STORAGE AND CONTAINER DEMMURAGE. For Freight forwarding, FIT will require: Detailed commercial Invoice Parking list Weight and Dimensions of the machine/ cargo Pictures of the machine Country of origin and pick up physical address of the same in case on door to door service. With above information, FIT will be able to quote for Freight forwarding services . Note: Shipments from European countries have a transit time of 18 to 28 days depending with the shipping line used. SHOULD PATICIPANTS ARRANGE THEIR OWN FREIGHT TO MOMBASA PORT: 1. They will need to contact Freight in Time one month before sailing of the cargo to obtain an IDF that will be used for inspection in the country of origin. Inspection takes two to 3 weeks. They will also need to contact Freight it Time for shipping instruction. This will be included on the BL( Bill of Lading) Send Freight in time pre alert of the shipment two weeks in advance to be able to nominate the cargo to our CFS. Pre nomination saves clients storage charges. 2. 3.

  3. Process Flow - Mombasa To Njoro PROCESS FLOW FOR DUTY EXEMPTED GOODS INCL. IMPORT CLEARANCE AND TRANSPORTATION MOMBASA - NJORO Kenyan imports on Agricultural tools don t attract duty and VAT. Therefore there is no temporary import bond required. These types of shipments however attract MSS Levy (Maritime Security Service) IDF (Import Declaration Form) and RDL (Railway Development Levy) only. MSS levy is a must for all cargo. ASK can seek exemptions for IDF and RDL though FIT guidance with Ministry of Agriculture and KRA. Procedure: For exemption of IDF and RDL, ASK will draft a letter( under FIT guidance) to the Ministry of Agriculture and KRA. requesting for the exemptions for each shipment Each exemption letter request, should have a commercial invoice and a draft BL or Pre alert from the shipping line attached. ( Each consignment/ BL should have its own exception letter) Ministry of Agriculture and KRA will acknowledge and approve the exemptions, issue the resepctive exemtption letters and excemption code for each consignment/ BL. This process can take one week to two weeks. Once consignments arrive, FIT will use these docs to clear the shipments. With all documents in place, clearance at the Kenya port authority will take 5 days.

  4. Process Flow - Mombasa Documentation required for clearing: Master Bill of lading Commercial Invoice Packing List COC ( Certificate of Conformity.) Done by SGS Exemption letter Road Transport Requirements: Dimensions for out of gauge machinery/ non containerized cargo( shipments above 27 tons) Out of gauge shipments will require escort car from Msa to Njoro Pictures of the cargo Road permits from KURA ( Kenya urban Roads Authority) for out of gauge and heavy machinery. Transport from Mombasa port to Njoro will take 18hours

Process Flow - Mombasa port to Njoro Collection of Manifest from the liner agent/ shipping line Lodging of entry in the KRA system Entry passed verification Delivery Order is issues by the carrier/ shipping line. Vessel berth Container discharge to CFS Issue of CRO (customs release order) by customs Sending of CRO to KWATOS pick up order is issued. Loading of shipment on the truck to Njoro (Egerton University) Delivery at the University in Njoro

  6. Re export Process Flow from Njoro to Mombasa Entry is done , paid for and await to pass Documents are presented to KRA with cargo and shipment is accepted. FIT arranges with KRA officials to verify shipment at site and issue a witness form Cargo moves by road to Mombasa Shipments are packed while booking of the Vessel is confirmed Shipment is accepted by the shipping line. Shipment sails to country of origin
